Which email format is more effective to use, Text or HTML?

A good question, many experts have been debating over for awhile now, is which email format is more effective. It all depends on who you ask, many people prefer the text format over the HTML format. There are also many people who would rather use HTML over the text format. You can pretty much draw a line right down the middle between the text users and the HTML users, itกs that close.

The truth of the matter is that the most effective format to use for your email really depends on the offer you’re presenting.

Both text and HTML email formats have their advantages and disadvantages. In this article I am going to go over the advantages and disadvantages of text and HTML email formats. Letกs jump right in and start with the format text.

Text

Obviously the real advantage to using a text format is that you have a white background with black font making it very easy to read. The text format loads fast, no matter what size the email is.

If the email loads fast and is easy to read how can text formats have a disadvantage?

Easy!

The real disadvantage of using text format is when you are using email as a source of marketing. To effectively use email marketing you need to use some sort of tracking software. Without tracking you will never know if the subject line and/or email offer needs work.

The point I am trying to make is that people are very cautious about clicking on tracking and affiliate links. As soon as they see a lengthy url, they get the impression that you are trying to sell them something and immediately delete the email. With a text formatted email you cannot hide long tracking urls from the recipient. With an HTML format you won’t run into this problem, which brings us to…

HTML

The biggest advantage of using HTML is that you can hide your tracking urls from the viewer. Instead of having a long url in your email offer, you can use a simple กclick hereก. Not only can you hide your tracking url, but you can also mask it from appearing in the browser window.

Moreover, HTML has a lot of disadvantages. For instance, some people can’t view HTML email, while others can view it with a limited amount of space. HTML email files can be sizable and take up a lot of space. Most people who use HTML formatted email use a lot of images and other graphics to make their email have a professional appearence. But they don’t stop and think about the size of the email that they are sending, and whether or not their recipients may have limited space.

Sending large email files is a sure way to get your recipients upset. You don’t want to strike out before you have the chance to swing!

You can see that both email formats have their advantages, as well as their disadvantages. As for which format is the right one for you, it all depends on your offer.

If you are sending an email offer that doesn’t require any lengthy tracking urls or has no affiliate urls, then text should be your format of choice.

Moreover, if you do have tracking or affiliate urls in your email offer, then HTML is the way to go. When using an HTML format be conservative, not everyone has broadband, youกll find that a lot of people are still using 28.8k modems for their Internet connection.

When sending out an HTML email offer it should have a solid white background with black text, and absolutely no images or graphics. This way the email offer appears to be text and loads fast, when itกs actually HTML. Your viewer won’t be able to see your long tracking or affiliate url which will increase your click through ratio and that means more sales.

Most autoresponders and email softwares have the ability to send email in both formats, but not all of them. There are still some that don’t.

If you are one of these people, here are some practical thoughts to consider before hanging out the กOpenforBusinessก sign.

In areas zoned ‘residential Only,ก your proposed business could be illegal. In many areas, zoning restrictions rule out home businesses involving the coming and going of many customers, clients or employees. Many businesses that sell or even store any thing for sale on the premises also fall into this category.

Be sure to check with your local zoning office to see how the ordinances in your particular area may affect your business plans. You may need a special permit to operate your business from your home; and you may find that making small changes in your plan will put you into the position of meeting zoning standards.

Many communities grant home occupation permits for businesses that involve typing, sewing and teaching, but turn thumbs down on requests from photographers, interior decorators and homeimprove ment businesses to be run from the home. And often, even if you are permitted to use your home for a given business, there will be restrictions that you may need to take into consideration. By all means, work with your zoning people, and save yourself time, trouble and dollars.

One of the requirements imposed might be offstreet parking for your customers or patrons. And, signs are generally forbidden in residential districts. If you teach, there is almost always a limit on the number of students you may have at any one time.

Obtaining zoning approval for your business, then, could be as simple as filling out an application, or it could involve a public hearing. The important points the zoning officials will consider will center around how your business will affect the neighborhood.

Will it increase the traffic noticeably on your street? Will there be a substantial in crease in noise? And how will your neighbors feel about this business alongside their homes?

To repeat, check into the zoning restrictions, and then check again to determine if you will need a city license. If you’re selling something, you may need a vendorกs license, and be required to collect sales taxes on your transactions. The sales tax requirement would result in the need for careful record keeping.

Licensing can be an involved process, and depending upon the type of business, it could even involve the inspection of your home to determine if it meets with local health and building and fire codes. Should this be the case, you will need t o bring your facilities up to the local standards. Usually this will involve some simple repairs or adjustments that you can either do personally, or hire out to a handyman at a nominal cost.

Still more items to consider: Will your homeownerกs insurance cover the property and liability involved in your new business? This must definitely be resolved, so be sure to talk it over with your insurance agent.

Tax deductions, which were once one of the beauties of engaging in a home business, are not what they once were. To be eligible for business related deductions today, you must use that part of your home claimed exclusively and regularly as either the principal location of your business, or the place reserved to meet patients, clients or customers.

An interesting case in point: If you use your den or a spare bedroom as the principal place of business, working there from 8:00 to 5:00 every day, but permit your children to watch TV in that room during the evening hours, the IRS dictates that you cannot claim a deduction for that room as your office or place of business.

There are, however, a couple of exceptions we will note to the กexclusive useก rule. One is the storage of inventory in your home, where your home is the location of your trade or business, and approval for your business, then, could be as sour trade or business is the selling of products at retail or wholesale. According to the IRS, such storage space must be used on a regular basis, and be a separately identifiable space.

Another exception applies to day care services that are provided for children, the elderly, or physically or mentally handicapped. This exception applies only if the owner of the facility complies with the state laws for licensing.

To be eligible for business deductions, your business must be an activity under taken with the intent of making a profit. Itกs presumed you meet this requirement if your business makes a profit in any two years of a fiveyear period.

Once you are this far along, you can deduct business expenses such as supplies, subscriptions to professional journals, and an allowance for the business use of your car or truck. You can also claim deductions for home related business expenses such as utilities, and in some cases, even a new paint job for your home.

The IRS is going to treat the part of your home you use for business as though it were a separate piece of property. This means that youกll have to keep good records and take care not to mix business and personal matters. No specific method of record keeping is required, but your records must clearly justify any deductions you claim.

You can begin by calculating what percentage of the house is used for business, either by number of rooms or by area in square footage. Thus, if you use one of five rooms for your business, the business portion is 20 percent. If you run you r business out of a room thatกs 10 by 12 feet, and the total area of your home is 1,200 square feet, the businessspace factor is 10 percent.

An extra computation is required if your business is a home day care center. This is one of the exempted activities in which the exclusive use rule doesn’t apply. Check with your tax preparer and the IRS for an exact determination.

If you’re a renter, you can deduct the part of your rent which is attributable to the business share of your house or apartment. Homeowners can take a deduction based on the depreciation of the business portion of their house.

There is a limit to the amount you can deduct. This is the amount equal to the gross income generated by the business, minus those home expenses you could deduct even if you weren’t operating a business from your home. As an example, real estate taxes and mortgage interest are deductible regardless of any business activity in your home, so you must subtract from your businessก gross income the percentage thatกs allocable to the business portion of your home. You thus arrive at the maximum amount for homerelated business deductions.

If you are selfemployed, you claim your business deductions on Schedule C, Profit (or Loss) for Business or Profession. The IRS emphasizes that claiming businessathome deductions does not automatically trigger an audit of your tax return. Even so, it is always wise to keep meticulously within the proper guidelines, and of course keep detailed records if you claim business related expenses when you are working out of your home. You should discuss this aspect of your operation with your tax preparer or a person qualified in the field of small business tax requirements.

If your business earnings aren’t subject to withholding tax, and your estimated federal taxes are $100 or more, youกll probably be filing a Declaration of Estimated Tax, Form 1040ES. To complete this form, you will have to estimate your income for the coming year and also make a computation of the income tax and selfemployment tax you will owe. The selfemployment taxes pay for Social Security coverage.

If you have a salaried job covered by Social Security, the selfemployment tax applies only to the amount of your home business income that, when added to your salary, reaches the current ceiling. When you file your Form 1040ES, which is due April 15, you must make the first of four equal installment payments on your estimated tax bill.

Another good way to trim your taxes is by setting up a Keogh plan or an Individual Retirement Account. With either of these, you can shelter some of your home business income from taxes by investing it for your retirement.

Marketing or Selling Which Is More Important?

A question I often get from clients and students goes something like this: กIกve been collecting marketing ideas… and I have a drawer full! I also have a stack of promising leads Iกve accumulated. And I know itกs important to stay visible, so I do a lot of networking, but then I just end up with more names in the stack. How do I prioritize all this?ก

If youกve ever wondered something similar, you may have lost sight of a very important truth the way to win the marketing game is not to collect the most leads; itกs to make the most sales. Marketing activities that increase your number of sales are good, and activities that don’t are bad, even if they bring in plenty of leads. If you don’t follow up on the leads you gather, you are throwing away your time and money.

The main purpose of marketing strategies like public speaking, writing articles, getting publicity, networking, promotional events, and advertising is to gain visibility. (A secondary purpose of the first three strategies can be to gain credibility.) Why do you want to be visible? Itกs not just so people will know who you are and what you do, itกs so they will do business with you.

If someone has already expressed interest in doing business, call them. Do it now. Memorize this rule following up on hot, or even warm, client leads is always more important than marketing for more visibility.

There is a simple diagnostic test you can take to see where you need to focus your marketing vs. selling efforts, which I call the Universal Marketing Cycle. Think of the marketing and sales process as a water system that begins by filling your pipeline with leads. The pipeline empties into your followup pool, which you are continually dipping into.

Your intent is to move the leads further along in the system, to making a presentation of some kind (by phone or in person), and finally closing the sale.

Where are you stuck in this system? Is it in filling the pipeline to begin with? Or is the pipeline full, but you haven’t been following up? Perhaps you have been following up, but don’t seem to be getting to the presentation stage. Or maybe you are making presentations but not closing sales. Wherever you seem to be stuck is the area that needs more effort.

When you have promising leads you aren’t contacting, the followup stage is clearly your stuck place. Take that stack of leads and sort them into three categories: prospective clients, useful networking contacts, and other. Now sort the prospective clients into hot, warm, and cold. Stop right there and follow up with all the hot and warm leads.

If, and I do mean if, you still need to do more work about marketing after following up with all those leads, go to the networking contacts and sort them into two groups: people who can lead you directly to prospective clients, and people who can lead you to other marketing opportunities, e.g. a new networking group or a speaking engagement. Stop, and you guessed it, follow up with the people who might have leads for you.

You should now have three groups left: cold client leads, people who can lead you to marketing opportunities, and other. Now is the time to decide whether you need to do something new to market yourself at all. Look at what you have been doing so far to get all those hot and warm leads you had. Maybe you just need to do more of the same.

If thatกs true, put those cold leads aside, because youกll have more hot and warm ones shortly. If you need to do something different to get better leads than what you had, go ahead and explore one of the new marketing possibilities in your second group, or one of the ideas stashed away in that drawer. And that กotherก group? Throw them away. They are just cluttering up your pipeline.

Will the product appeal to your customers?

How much does the merchant pay and for what do they pay? Click throughs? Purchases?

Do they pay only for the first purchase or do they give you a percentage of all future purchases by that customer?

How frequently are commissions paid? This information should be in the affiliate agreement.

Does the merchant provide access to view your account on a regular basis so you can see how the program is doing?

With some good research you can find the right affiliate programs for your home based business website and in no time you will be making money simply for referring customers from your website.

Search engine optimization is one of the most popular topics in Internet Marketing. The reasons are obvious. Search engines provide highly targeted traffic at a zero or very low cost. There are a lot of myths, debates, and disagreements over what is good Search Engine Optimization (SEO). We have decided to look at 7 principles that you should definitely follow when optimizing your site for search engines.

Use Meta Tags

You will certainly here a large number of people tell you that meta tags are not important and are useless. There is some truth to this, however, it is largely untrue.

Meta tags were first included in web pages primarily for search engines and directories. Meta tags are to be used as summaries as to what your website is about. Because they were good summaries and a logical way to identify and classify a website, search engines used meta tags in their ranking algorithms. This method was good in the early days of search engines and the Internet.

Unfortunately, everyone else figured out that by ขoptimizingข their meta tags, they could better their rankings. This optimization quickly turned into spam. Search engine technology developed and soon most search engines would remove meta tags from their ranking algorithms.

However, meta tags are still extremely important in SEO. You want your site to be easy for search engines to crawl. Meta tags are still used by spiders to make a quick assessment as to the nature of a website. Meta tags are also used to identify the author, the company name, various rules for the spider to follow, and a general rating for the spider. An example of the meta tags that you should have are listed below:

This describes what language and format the site is in. This would be different for an XML document or other formats.

Is this site up for only a short time? If so, let the engine know how long the information is good for.

Do you only have regional content, or should the whole world be opened up to see you?

Who owns the site, or who designed the site. This WILL help your rankings if someone does a direct search on your company name.

Obvious important copyright information.

This should be one or two sentences. Make them wellformed sentences…don’t use sentence fragments. Use a few of your desired keywords, but do not spam the sentences with your keywords.

Use anywhere between 615 keywords or phrases in this section.

Tell the search engine robot to follow all of your pages. This doesn’t mean that it will, it just gives them permission.

How often do you change your content? Once a day, once a month? Let the robot know this information, but be truthful!

Do you have an adult website? Make sure you indicate that here. If it is for the general public, then let them know that as well.

Meta tags, although not crucial to your ranking, are helpful for search engines. For this reason alone it is good to employ them on your website.

Use Properly Formed HTML

One of the biggest mistakes people fall into is that they use improper HTML on their sites. HTML is relatively easy to code. Well formed HTML is structured clearly and neatly. Poorly formed HTML includes open tags, closing tags out of order, minimal information when forming your tags, and errors that may not show up in a browser.

When a search engine spider visits your website, its task is to ascertain the information on your website and give it a grade. If you have poorly formed HTML on your website, you are making the task of the spider more difficult. Additionally, if you have poorly formed HTML on your website, the search engine may not consider your website to be the best candidate for your desired keywords as poorly formed HTML represents a lack of professionalism.

You should always follow a few rules when forming your HTML:

A. Close All of Your Tags

Every HTML tag has an open and a close tag, with the exception of a line break (). Do not leave tags hanging. For example:

The problem with this code is that the person forming the code did not close out the tag. This means that it is still open.

B. Close Your Tags In Order

Although a minor issue, closing your tags in order creates better HTML. For example:

This is my text

These tags are closed out of order. You should always close the last open tag first.

C. Use ALT Tags on Images

A search engine does not know what an image looks like. Most spiders can figure a few things out about an image by its file name, but an ALT tag should tell a spider everything about that image. For example:

Properly formed HTML will make it easier for search engines to know what your site is about. The faster they can digest your information, the more they will digest.

Avoid Excessive JavaScript

JavaScript is a great tool to have. It can make your site interactive and provide better, stronger interfaces for your users. However, it should be avoided at all costs when implementing content.

JavaScript is different than most every other technology on the Internet as it is a clientside technology as opposed to serverside. The difference is simple. When a person views your webpage, if there is JavaScript, the JavaScript will be downloaded to that person’s computer and executed on their computer. If JavaScript were serverside, then the execution of the code would happen entirely on the server where the website is located.

Because JavaScript is a clientside language, search engine spiders are not able to read what they output. So, if you are trying to update your content frequently using JavaScript, the search engine will never know the difference.

JavaScript is still a great resource for forms, validation, and other parts of your page that are not crucial to the meaning of your page.

Avoid Dynamic URL’s

A URL such as http://www.anydomain.com/program.php?id=456&p=4 is not search engine friendly. Search engines have come a long ways in their ability to spider

URL’s such as the one above. In fact, you will probably be included in an index with that style of url, but it is not a friendly URL.

With the introduction of mod_rewrite, you can easily make dynamic URL’s into search engine friendly URLs. Mod_rewrite would give you the ability to make the above url into something that looked like this:

http://www.anydomain.com/program4564.html

Search engines will be more inclined to index this type of URL.

Don’t ขOverOptimizeข

There really is no such thing as overoptimization. Overoptimization is actually search engine spam. Search engines hate it when people spam them with keywords. A few examples of search engine spam. If you make your site sound natural, but form it around a central topic, you should obtain the perfect balance of keyword density on that page. If you do not, then you should rethink what your website is really about.

Spending all of your time making sure every Alt tag has your targeted keyword in it, or finding a way to include very small or close to invisible text so that you may spam a certain keyword, is a sure way to waste your time and ruin the appearance of your website.

Keep Content Fresh

Search engines LOVE fresh, new content. Constantly add new news to your website, new information, and change your front page. You do not need to change the look of your website, just the content on the front page.

Search engines are always trying to provide searchers with the most relevant, up to date information possible. A page that hasn’t changed since 2000 will not have as relevant content as a page recently published with updated information.

There is also an issue of pride with the search engines. Part of the search engine wars has been to see who can keep the freshest index. As a result, search engines such as Google take note of sites that change frequently. The more frequently your site changes, the more frequently they will come back and reindex your site.

Don’t Rely on SEO

This article has focused on some basics of SEO, but if there is one rule to follow in developing your website it is this: do not rely solely on search engines. There are plenty of ways to develop a steady stream of traffic to your website outside of search engines. Link exchanges, purchasing links, advertising, participating in online communities are great ways to build your traffic. Don’t be afraid to purchase advertising. If you have a great website, people will refer others to your website.

The lesson in all of this is that good search engine optimization stems from organized development, fresh content, and generally an attempt to develop a useful website for your visitors. If you do this, you will be surprised at how SEO really takes care of itself. Search engines are looking for welldeveloped, contentrich websites. Simply give them what they are looking for and let them worry about filtering out all the people who are attempting to ขtrickข them.

The sequence of information you provide on your web site and its visual presentation can drive clients to contact you about your services or buy your products or it can send them away.

Many small business owners have web sites but few are making as much money from their sites as theyกd like to be. If you aren’t getting the web traffic youกd like, or if you’re getting lots of traffic but no buyers, the problem is most likely the design and copy you are using on your site. The seven web page building guidelines below will help you convert prospects to clients with your web site.

1. List The Actions You Want Visitors To Take.

Do you want them to sign up for your newsletter, read your marketing message, read your copy or just contact you? Before you design or edit your page, make a list of which actions you want people to take and in what order when they visit your site.

2. Identify The Decisions Visitors Need To Make Prior To each Action.

Before you design or redesign your homepage or edit your copy, clarify the decision making sequence that you want visitors to move through. Most marketing materials, web sites included, rush to sell prospects on the solution without laying the groundwork.

Help prospects clarify the problems they want solved and the value in having them solved. Once youกve done this, youกve created the context for selling your solution.

3. Design The Visual Hierarchy To Move People To The Desired Action.

Use the size, color, and the location of elements (type, illustrations or photographs) to bring visitorsก attention to the most important message first, then to the second most important message or link. Make sure that visitors can scan your page and find the most important links first or can scan the copy and quickly pick up the most important points because they stand out visually.

4. Stay Focused On Prospectsก Problems.

Your prospects want to satisfy their needs and, more importantly, avoid incurring a loss or pain. Lead with copy about their concerns. Let them know that you understand their aspirations as well as their worries and the problems they want to solve.

5. Write Your Copy To Support Prospectsก Decision Making.

To demonstrate that you know and understand your prospectsก problems, be specific. Avoid general phrases like กsave time and moneyก, which apply to hundreds of services. Give detailed examples of the problems your prospects experience and how you solve them.

6. Tell People What To Do.

If you want people to read a key article first, then sign up for your newsletter, and then contact you, tell them so. List the steps you want them to take at the top of the page and then use your page design to support this sequence of actions.

7. Make It Easy For Prospects To Contact You And To Buy.

Include a contact or order form on your homepage and make your email and phone number easy to find.

Change the design and copy on your site to help visitors take the steps to become clients. Youกll be pleasantly surprised at the difference in your response rate and your business growth.

Do you have a wireless network installed in your home? Chances are that you do. If so, did you know that hackers might be using your Internet connection without your knowledge or consent?

Itกs called กDriveBy Clickingก and it is becoming more and more popular all the time. Here is how it works:

A hacker drives through a residential neighborhood with a laptop computer equipped with a wireless network adapter. If a wireless router isn’t configured for secure communications the hackerกs laptop can detect the signal, stop his car, and access the Internet using the unsuspecting homeownerกs Internet connection.

He can send spam emails (potentially getting the homeowner in trouble) and even access sensitive information on the hostกs computer. Scary stuff, huh?

If you have a wireless router you can protect yourself with these tips:

Place your wireless router in a location that is as far away from the street or the closest neighborกs house as possible.

Change your routerกs password from the factory default (which most กcompetentก hackers are familiar with) to a new one.

If you have file sharing enabled on your PC be surer to activate password protection.

Enable encryption (WEP) in your routerกs configuration settings.

Be alert for clues that someone else is using your Internet Connection or home network. These include excessive Internet traffic through your cable or DSL modem (the data lights will flash more than usual) and a sluggish PC with lots of unsual hard drive activity.

Taking the time to secure your wireless network from cyberintruders could save you lots of headaches and losses (monetary and otherwise) in the future.

We all know thereกs been alot of chaos lately about new antiSpam laws and honest business owners like you and me don’t want to have our businesses and ezines shut down due to false complaints. Yet we also know that true Spammers and Scammers will continue to get away with their crap.

Hereกs a prime example of *both* Spam and a scam that I received in my inbox a few days ago. Iกve interjected my own comments in brackets throughout.

กSubject: REPLY URGENT

Dear SIR,

[Since when did I become กSIR?ก The last I knew, I was a female. So if youกd like to propose a joint venture with me, Iกd appreciate at least being called กMaกam.ก]

Thanking you so much for taking your time to read my request mail and your timely response too.

[You’re welcome. I needed a good laugh.]

To be candid, we do not know ourselves before this business that has to do with Trust linking us up. We are strangers to each other. But I purposely wrote you in faith to sincerely know if you have the desire and the capability to do this business with me. I got your contact through the Internet with the hope that you have the qualities desirable in such business.

[I know *myself*, but maybe he doesn’t know *himself*. Oops, I forgot heกs foreign, so that explains the misuse of certain words that could possibly cause me to misunderstand this whole business proposal. Iกll take that into account to be sure I understand all the details. After all, he did write me กin faith to sincerelyก find out if Iกm a gullible idiot.]

I believe you still recall my reason of soliciting for a foreign partner like you to handle this on our behalf. I think Iกll sell him shares of stock in my company. 🙂 But since heกs foreign, I get the feeling he won’t have to do jail time with me when I get busted for whatever it is heกs proposing. Thatกs OK. Iกll get rich from selling him the shares of stock.]

Where the heck are those email police when you need them? This is true Spam and an obvious scam, but no one stopped it from getting to my inbox.

Maybe someone should forward stuff like this to AOL, Yahoo, Habeas and other companies who are quick to shut down the honest business owners, but don’t seem to go after the real Spammers and Scammers.

Spam and Scams seem to go hand in hand on the Internet. *This* email is the type that those companies need to get rid of. So where are they when the real Spam and Scams surface? Probably enjoying donuts and coffee at the local donut shop.
