Do you place backissues of your Newsletter on your website?

There are two good reasons why you should:

(1) It shows potential subscribers that you’re serious about your Newsletter

(2) Newsletters are rich in keywords, so itกs a very good idea to turn backissues of your Newsletter into HTML documents and then submit them to the major Search Engines

Hereกs a little trick that will help you format your Newsletter as an HTML document:

Copy the text of your Newsletter into a text editor such as NOTEPAD.

Then copy the text from NOTEPAD into Microsoft Word. Youกll notice that in your Word document, each line ends with a Paragraph Mark.

Now go to EDIT | REPLACE.

Place your cursor in the first field, where it says กLook Forก.

Now click on กMoreก and then on กSpecialก and select the first item in the list (กParagraph Markก). The symbol for a paragraph mark will now appear in the first field (a hat followed by a กpก).

Now place your cursor in the field below, where it says ‘replace Withก and type . Then click on ‘replace Allก.

Youกll find that every single paragraph mark in your Word document has been replaced with .

Now copy the entire Word document into a new NOTEPAD document and save it, using the file extension .html (Note: NOTEPAD doesn’t offer you the option to save as an HTML document, but don’t worry; just type .html after the name you gave the file, and it will be saved as an HTML document).

Close that html document and then open it again and youกll find that your Newsletter is perfectly formatted, with the exact same line breaks that you had in the email version of your Newsletter.

Using this technique it takes me about 45 seconds to turn a backissue of my Newsletter into an HTML document!

Newsletters can be great communication tools, but they take work. Here’s a quick list of common problems newsletters run into and how to fix them.

1. The snoozeletter a newsletter so boring it puts readers to sleep.

Cure: Find out what your readers want to know and write about it. Keep the tone lively. Don’t know what readers want? Ask!

2. Audience too broad a newsletter with a broad audience (customers, employees and distributors, for example) may meet no one’s needs very well or might meet one group’s needs while ignoring the others.

Cure: Different audiences = different information needs = different newsletters. Your newsletter will be better read if it provides information that’s relevant to the specific audience.

3. Too long Most folks are strapped for time. They won’t tackle a long newsletter.

Cure: Keep your newsletter short. (12 pages an issue )

4. I have a friend…. Everyone has a friend, relative, spouse, or whatever who knows something about marketing and/or communication. Doesn’t mean they know anything about newsletters. The results include poor writing, poor design, poor targeting, and poor performance.

Cure: Use people with newsletter experience.

5. Published once in a blue moon – Infrequent publication builds a reputation for poor followthrough. Probably not a good thing for your business.

Cure: Be honest! Do you REALLY have time to write this newsletter? Do you have a writer on staff who can take on this project? If you don’t have the internal resources, hire a project manager and writer. Then let them do their jobs.

7. The disappearing act – One issue followed by…nothing. Maybe that initial issue took more effort than expected. Maybe content wasn’t planned in advance. Whatever the reason, a disappearing act doesn’t say good things about your company.

Cure: Make the newsletter a top priority. Plan ahead. Stick to your schedule. Hire help if you need it.

I’ve always praised the benefits of using a newsletter to promote your music, but this article give a bit more detail into how to go about it.

First, there are tons of different providers out there that can send out your email newsletter. Some are expensive while other like cafepress.com allow you to make one free if you sell products through them. Although this isn’t EVERYTHING you could do it is a good starting place.

Define the letter – is it going to be strictly about your band or other acts in your genre? You might be able to pick up other readers/listeners who weren’t aware of your music, but know other acts if you go broader.

Develop a schedule. Are you going to do it daily, weekly, monthly? Whatever you choose does not matter. The most important part is to stick to it, once people get to reading and enjoying your newsletter, they’ll expect to receive it on time, all the time.

How much content will it contain?

Are you going to have one page or six pages? Try to make the content the same size each issue.

K.I.S.S – Yet again, keep it simple stupid. That means staying on topic and writing in a tone that is both understandable and friendly.

Ask for reader feedback. Perhaps someone might have an idea for a new feature or they may have a hot news tip. Always answer your reader’s requests and emails regardless of if you use their idea or not.

Keep copy short and in the active voice. Avoid passive words if you can and give your articles some kick. You’re writing for people, not Harvard educators so keep your tone to one that people will enjoy looking at each week.

Extra set of eyes. Always have an extra set of eyes look over everything you send out. Television, radio, and print advertising are often too expensive for many businesses to justify – especially small businesses. Fortunately, there is an alternative. Today’s internet and email technologies make company newsletters a very inexpensive, yet surprisingly effective, form of advertising. When it comes to newsletters, big companies and small are finally competing on a level playing field.
So what is an email newsletter?
An emailed newsletter serves much the same purpose as a traditional company newsletter. Think of it as a short newspaper – but instead of relating to a town, city or country, it relates to your business. You can include articles on new products or services, awards, recent success stories and case studies, promotions, specials, share price rises, company events, research… And if it’s a quiet month, you can simply write articles that might help your customers out.

9) Easy unsubscribe: Make your unsubscribe easy to find. If it’s obvious, they’ll feel safe and can then appreciate the content. To many people, the ease of unsubscribing is an indicator of the integrity of your company.

No matter how you name it: email advertising, email marketing campaign, newsletter, ezine. The medium is already worn out. Overused. Abused. This means you have to make extra efforts to make people get involved with whatever you do for making a living online.

I don’t want you to believe Iกm one of the self made Internet gurus out there. No need to mention Iกm not a real Internet guru either 🙂 . Iกm just an ordinary Internet user, happy to share some routine experiences and thoughts about editing newsletters.

By all means, know your purpose!

Some newsletter editors think that, if last week I was interested in email marketing, the next week I could be interested in some songs they have just written down after being involved in a ‘release Your Creativityก like seminar. I know you probably won’t believe me, but it happened just this way. Ok, you online marketing fellow, I may want to hear about your songs, but don’t make them a main topic. I know what I subscribed for, and when I don’t find what I expected in the message body, I feel somehow deceived.

Think rather community than emailing list

The next paragraphs may seem not to have anything to do with editing newsletters. But instead of lying in your comfortable shell, headphones on your ears, beautiful posters in your eyesight, trying to produce more and more กwords that sellก, what about a bit of real communication?

Have you ever been told กitกs all in the listก? Ever wondered what they mean by that?

The reason you edit your newsletter is (probably & primarily) because you want to sell something. Try to forget sales for a moment. You are online to give somebody something that he or she could use. You gather in a list persons that have something in common (including yourself). Maybe they like cars. Or coffee. Or sleeping late. Let them share that with you. The first step is to encourage feedback. You can create a discussion list and a forum.

I know what usually happens. You create a discussion group, post a topic and wait for opinions to poor in. This may never happen. It takes time to create a strong community. Many people might subscribe to the list just for reading other opinions, and never post a message. This shouldn’t bother you. They are a step closer to you than usual newsletter subscribers.

Remember that in a community, your promotional messages are beeing red as (hopefully) friendly advice. However, they are not beeing perceived as agressive email ads.

A community is about trust and transparency. Allowing competitors to post messages (as long as they are respecting the netiquette) makes you more credible. Moreover, you can be the first person in the list to post links towards other competitorsก websites. All you need to do is always insist on your USP (unique selling proposition). Youกll always offer something that no other competitor will. If you don’t, youกll soon be out of business anyway, so why bother with email marketing? Whatever you do, your customers & prospects will appreciate the sincerity in the first place.

Become a member yourself in other communities. Have you thought about starting with your best competitors? If they kick you out, remember to post a thank you message on your own list (no kidding).

Publishing in targeted discussion lists is a powerful way to reach thousands of prospects. And they’re already กfilteredก.

Now you are treating your subscribers like real persons, that have preferential needs. Now you can get back to thinking about sales.

Netiquette

This is not just about how others behave on the web. You have to respect some rules too. When you place a link, don’t mislead. When you choose a subject line, don’t lie. When you splash a half page title, make sure it relates to the content of the message.

Finally, some editing tips:

Don’t take me as an example and use short phrases.

Use lists.

When you start editing a newsletter, you become a public person. Thatกs like a public speaker. Don’t be afraid to speak for yourself. Let people know who is talking.

Use a friendly, but nonaggressive & friendly approach.

When sending personalized messages, make sure that the names are being spelled correctly.

Ring the bell! Arouse interest by using questions. Start with a controversial subject. Use incendiary or celebrity statements on the topic you want to approach. Create a doubt.

Stay away from cliches like กwe are the bestก, กwe doubled our sales last monthก and so on. How well youกve been doing lately is probably more interesting for yourself than your subscribers.

Quote authorized opinions.

Get celebs in your business field to write an article now and then for your ezine. Ask for interviews, get statements and figures. These are some very objective inputs that you can use.

Always include your incentives and current sales in the newsletter. Some subscribers may not visit the website for several weeks.

Provide tips, especially about bargains: books, seminars. Don’t let the fact that they are offered by competitors stop you. Prove competition really works for you. Well this doesn’t mean you need to be laudative for no reason.

Don’t forget to sign your articles. Say who you are and post a contact link. This is the beauty of email. You can send to anyone and receive from anywhere, in a moment.

I don’t want to see you suffer any longer than you already have. So let me reveal my little secret.

A mailing list will build your credibility, which builds trust in your customer because they know that you are knowledgeable about your subject. It also allows you to build a relationship with your customers. Growing your mailing list is often one of the biggest challenges for webmasters. So how do you go about promoting your mailing list?

1) There are many sites dedicated to listing mailing list on their site for their visitors. Register your mailing list at Ezine announcement directories. You may be able to find some that are specifically for your subject, these are the ones that are going to provide you with targeted readers.

2) Write your own articles and submit them for publication. Pick a topic related to your site, but where you also know what your talking about. Other web sites will pick these articles up and post them on their site or even better in their newsletter. After you write each article post a link to your mailing list at the end of it in the writers resource box.

3) If your newsletter is good youกll have people sharing it with family and friends, Sometimes people will forget to do this, so make sure you add a friendly reminder in each newsletter to tell their friends about it.

4) If you have a ebook or free guide on your web site, If your newsletter has the same topic, promote your newsletter in it. You can give your ebook or guide to other web sites to give to their visitors.

5) Get active in discussion groups and include a link to your web site in your signature. But be careful, some forums will not allow you to promote your products/services in your signature, so read the rules first.
